2. Scope

This policy covers the public website at mitis.be, including the contact form, the distributor application form, and customer-satisfaction forms sent by invitation. It does not replace contracts that may apply to specific products, services, or partnerships.

3. Personal data we collect

We collect only the data needed to operate the website and respond to you:

• Contact form: first name, last name, email address, company name, message, and, if provided, job title, phone number, and area of interest.
• Distributor application: the same identity and company details, plus country, activity, website, and the type of partnership requested.
• Customer-satisfaction forms: company, contact name, email address, product or service references, and your ratings or comments. These forms are available only through a unique invitation link.
• Technical data used to protect forms: IP address (stored as a short-lived hash for rate limiting), and browser Origin or Referer headers to confirm that a submission comes from this website.
• Analytics data, such as pages viewed and approximate usage statistics, only if you accept optional cookies. See our Cookie Policy.

This website does not offer a newsletter signup, user accounts, or advertising profiles.

4. Purposes and legal bases

• Responding to inquiries and partnership or distributor applications (pre-contractual steps and our legitimate interest in handling business correspondence).
• Measuring customer satisfaction when we invite you to complete a form (legitimate interest in improving our products and services, or performance of a contract where applicable).
• Protecting the website against spam and abuse (legitimate interest in security).
• Understanding how the website is used with Google Analytics 4 (consent).
• Complying with legal obligations, including accounting and record-keeping where they apply to business communications.

5. Recipients

Form submissions are emailed to MITIS using Microsoft 365. They are read by MITIS staff who need them to reply. We may also share data with:

• Microsoft, as the email hosting provider for those messages.
• Cloudflare, when Turnstile or other Cloudflare protection is enabled, for anti-bot verification.
• Google Ireland Limited, if you accept optional analytics cookies, for aggregated website statistics. Advertising and personalisation signals remain disabled.
• Professional advisers or public authorities where required by law.

We do not sell personal data.

6. International transfers

Microsoft 365 and, if you consent, Google Analytics may process data outside the European Economic Area. Where that happens, MITIS relies on appropriate safeguards, such as an adequacy decision or the European Commission’s Standard Contractual Clauses, as provided by those suppliers.

7. Retention

We keep form and feedback messages for as long as needed to handle the request and for a reasonable period of business correspondence afterwards, unless a longer period is required by law. Rate-limit records are short-lived (minutes to hours). Analytics cookies last as described in the Cookie Policy, or until you withdraw consent.

8. Your rights

Under the GDPR, you may request access, rectification, erasure, restriction, objection, or data portability, and you may withdraw consent where processing is based on consent. To do so, email info@mitis.be.

9. Security

We use HTTPS, origin checks on public forms, rate limiting, and, when configured, Cloudflare Turnstile. Access to internal administration pages is restricted. No method of transmission or storage is completely secure.

10. Cookies

Strictly necessary cookies store your cookie preference and may support security or a signed-in session on restricted internal pages. Optional Google Analytics cookies are used only after you accept them. Details, durations, and preference controls are in our Cookie Policy.

11. Changes

We may update this Privacy Policy to reflect legal, technical, or operational changes. The current version is always published on this page with a revised “Last updated” date.
